Section 1.   K.    How to Request a Room for Training

This training procedure is primarily for individuals who are seeking a space for a training activity.   The only two rooms that the Training Department directly schedules are the two large training rooms at Central Office.  All other training rooms, such as those at the  centers, in addition to the various conference rooms at Central Office are not under the direct control of the Training Department.

A. Scheduling the Training Rooms at Central Office.
  1. Only the Training Department schedules Training Rooms 1 and 2.
  2. To request the use of these rooms contact Cinithia Melton, Central Office, ext. 6427, or Tim Devaney, Central Office, ext. 6428.
  3. Although these rooms are usually scheduled on a "first-come-first-served" basis, any previously scheduled activity can be cancelled or rescheduled for other priorities.

B.   Scheduling of other training rooms and conference rooms in our agency.
  1. Other training rooms and conference rooms must be scheduled through the person or department responsible for the specific room.
  2. Partial list of other possible training rooms:
    a. The Grand Prairie training room (largest training room in the agency, seats as many as 150 people (theatre style if seats are available).  Has furniture to seat approximately 50 people, classroom style.   To schedule contact the Grand Prairie center.
    b. The Lancaster-Kiest training room (seats as many as 25 people .  Has furniture to seat approximately 25 people, classroom style.   To schedule contact the Lancaster-Kiest center.
    c The A.M. Brooks training room (seats as many as 25 people .  Has furniture to seat approximately 25 people, classroom style.   To schedule contact the A.M. Brooks center.
    d. Board Room (seats as many as 18 at table and room for an additional 20 in chairs around the sides of the room).  To schedule contact the Executive Secretary, Central Office, 6440.
    e. Administrative Conference Room (seats 8 at the table and room for 8 additional chairs).  To schedule contact the Executive Secretary, Central Office, ext. 6440.
    f. Head Start Director's Conference Room (seats 6 at the table).  To schedule contact H.S. Director's Administrative Assistant, Central Office, ext. 6456.
    g. Purchasing/Finance Conference room (seats 8 at the table).  To schedule contact, Purchasing Clerk, Central Office, ext. 6411.

If funds are available, the Training Department can schedule functions in out-of-agency venues.  This must be done through Cinithia Melton.

During the Pre-Service Training time period (the day regular center staff returns from summer vacation and the Friday before children return to the center for the start of the school year) all training and conference rooms in the agency are under the authority of the Training Department.  All training sessions and meetings during Pre-Service must be scheduled through the Training Department. 

C. The use of any of these rooms requires that the group using the room will leave the room clean and orderly (in the same order in which it was originally set up).  If additional furniture in brought into the room, it will be removed immediately after the meeting.
