 What we do

 
External Affairs (EA) serves as a bridge between Head Start of Greater Dallas and the public. Comprised of three team members, the department's purpose is to communicate and promote the agency's mission so that Dallas' low-income children and their families receive needed services critical to their child's educational development.

Responsibilities range from marketing and public relations to crisis communication, fund development and special events.
 EA also streamlines agency happenings with The Spirit, the agency's quarterly newsletter, and an interactive website at  www.hsgd.org. In addition, Robert Massonneau, External Affairs Director, leads the Staff Support Committee, where staff members from each triad meet once a month to discuss agency/staff issues.

  Who we are
 

If you would like to get information about hosting a special event, The Spirit newsletter, need center flyers or invitations, would like to purchase an item from the Head Start store or have questions about the Adopt-A-Family program, email Debbie Mormon or call 972-283-6474.

If you would like to get information about possible media coverage for a center event, would like to submit photos/stories for your online scrapbook contact Zar Atiqzoy at zarlacht@gmail.com.

 Crisis Communication

In the event of a crisis or emergency, take care of those directly affected first: call 911 and render any assistance you can. Contact your immediate supervisor. If you are unable to reach him/her, call Head Start staff in the following order until you reach one:

If reporters are on the scene, do not make any statements or answer any questions. Do not use the words "no comment." This gives the impression you are trying to hide something and does not look good in the press or on the evening news. Refer them to Mr. Massonneau, Mrs. Smith or Mr. Gilbert.

Do not discuss what happened with anyone, including other staff, parents, friends, bystanders, etc. Do not place blame or five details to anyone when questioned except the proper authorities: your supervisor, Head Start executive staff, the police or Child Protective Services.

Identify witnesses and carefully preserve any physical evidence related to the incident until authorities arrive. Write down witness names, phone numbers and other necessary information, including license numbers if a motor vehicle accident.

The agency will cooperate fully with the media, and you may be asked by the agency to relate what you observed. If so, always tell the truth when responding. Do not elaborate and answer only those questions which are asked. Do not offer any extra information. External Affairs must be present during all interviews.

All press contacts are through External Affairs. Staff should not contact the media directly for any reason either by phone, email, written correspondence or in person.

 Correspondence Packet


Communication materials should at all times be professional and have the correct logo and type style. Examples of letters are provided below. All other materials, such as center newsletters and materials for the public, must be approved by EA Associate, Debbie Mormon, prior to distribution.  2004 Annual Report

 The Spirit Newsletter

The agency's newsletter, featuring agency and center news, is distributed to Head Start parents, staff and donors each quarter. There is also an online version available at www.hsgd.org. Go to "Media News" and choose "e-newsletter" for a digital copy. If your center needs additional copies, please contact Debbie Mormon at 972-283-6474.

 Media

Media kits are valuable tools for marketing the Head Start program. The kit contains pertinent information about Head Start and its program history. To download a copy of each and make copies for your next event, see below.

 Display Board

 

If you’re going to a health fair or community event for Head Start, External Affairs will assist.  We have a large display board that fits a 6-foot table complete with photos and agency information.  It fits in a rolling case. We also have a large table cover which fits either a 6-foot or 8-foot table and has the logo.

 

We can give you brochures for Head Start in three languages and an Early Head Start brochure in English as well as one designed to attract volunteers.

 

External Affairs has balloons in red, white and blue to decorate and can also provide Head Start of Greater Dallas pencils.  (Helium is not provided).

 

To reserve the board, call Debbie Mormon at 972-283-6474.  It is due back to Central Office the following day, or if someone else needs it, you can make arrangements with them for the transfer.
